Our process

From first message to money in your bank.

Every matter follows the same path. We diagnose before we file, agree the scope in writing, fix the record at the source, and stay with the claim until it is settled and checked.

Stage by stage

What happens, and who does what.

You always know what we are waiting for, and from whom.

01

Enquiry and first triage

Tell us what is wrong in your own words. We check that it is a matter we can help with before you pay anything.

What you provide

  • A short description of the problem
  • Any rejection remark you have received
  • The best time and channel to reach you

What we do

  • Read your enquiry and ask quick clarifying questions
  • Tell you plainly if the issue is simple enough to file yourself
  • Offer a consultation slot if it is not
Deliverable: A confirmed consultation slot, or self-help directions
02

Consultation and diagnosis

A thirty-minute video session with an adviser. We look at your record with you and find what is actually blocking the money.

What you provide

  • Your UAN and access to the member portal during the call
  • Passbook, service history and claim status
  • Aadhaar, PAN and bank details for comparison

What we do

  • Compare every field EPFO matches: KYC, exit dates, bank, service
  • Trace earlier accounts and unmerged UANs
  • Identify the root cause and any second issue behind it
Deliverable: A diagnosis, explained on the call
03

Written plan and quotation

Within the agreed time you receive a document setting out what needs to happen, in what order, and what it will cost.

What you provide

  • Confirmation that you want to proceed
  • Answers to any open questions from the call

What we do

  • Set out each step, the forms and who must act on each one
  • Give a realistic timeline, including likely EPFO waiting periods
  • Quote a fixed professional fee and define the scope
Deliverable: A written action plan and fixed-fee quotation
04

Corrections and documentation

Most failed claims need a fix before refiling. We make the record consistent first.

What you provide

  • Clear copies of supporting documents
  • Introductions to former HR contacts where possible
  • OTP approvals in a live session when needed

What we do

  • Prepare Joint Declarations, transfer requests and supporting packs
  • Coordinate with current and former employers
  • Confirm each correction is reflected before moving on
Deliverable: A corrected record, ready for filing
05

Filing and follow-up

Claims are filed in the right sequence, then followed through the regional office.

What you provide

  • Availability for short live sessions to authorise filings
  • Keeping your linked mobile number active

What we do

  • File each claim or request in the order the plan sets out
  • Track status and respond to queries quickly
  • Send you updates on a fixed schedule over WhatsApp or email
Deliverable: Filed claims with tracking, and regular updates
06

Settlement and verification

The matter closes only when the money is in your account and the amounts are right.

What you provide

  • Confirmation once the credit appears in your bank

What we do

  • Check the amount settled against the passbook and the expected TDS
  • Check that pension service and certificates are correct
  • Advise on next steps such as repatriation or tax records
Deliverable: Funds credited and a closing summary
When EPFO pushes back

Queries and rejections are part of the plan.

A query or rejection is not the end of a matter. We treat it as information about what the office needs.

Stage I

Read the remark

We interpret what the office actually needs, including what it does not say outright.

Stage II

Trace the cause

We check whether the problem is in KYC, employer data, service history or the claim itself.

Stage III

Fix, then refile

We correct the record at the source before filing again. We never refile unchanged.

Stage IV

Escalate with evidence

Where a decision is wrong, we raise a precise grievance or approach the regional office with documents.

Rework caused by a rejection is covered by the fee for the agreed scope. If a rejection reveals a new, separate issue, we explain it and quote before doing anything outside the agreed scope.

Waiting periods

Which delays are normal.

Some waiting is outside anyone’s control. We tell you which kind of delay you are facing.

  1. 01
EPFO processing windowsClaims and corrections queue at the regional office. We track them, but they cannot be hurried by repeated filing.
  2. 02
Employer actionsApprovals of Joint Declarations, exit dates and transfer attestations depend on the employer. We chase them on a schedule.
  3. 03
Between officesTransfers between regional offices, or with private PF trusts, add a step on each side.
  4. 04
Banking and taxBank verification and TDS treatment can add a short final step before the money is credited.
Engagement terms

Nothing is charged beyond the consultation without your written agreement.

Questions

Frequently asked.

If your question is not covered here, raise it in the consultation.

It depends on the cause and on the offices involved. Your written plan gives a realistic range for your matter, before you commit.

A little: share documents, approve OTP steps in short live sessions and keep your linked mobile active. We do the rest.

On a fixed schedule over WhatsApp or email, and whenever something changes.

We read the remark, fix the cause and refile, within the agreed scope.

Yes. The written terms explain how fees work if you stop the engagement.

Consultation

Start with a thirty-minute diagnosis.

1. Initial review

We look at your passbook, service history, KYC status and any earlier claims to find the actual cause of the problem.

2. Written plan

You receive a short written note of what is wrong, what must be corrected first, and which forms or filings are needed.

3. Preparation

We prepare the claim or correction, check it against the records, and tell you exactly what you or your employer need to sign or approve.

4. Filing

The claim, transfer or joint declaration is submitted through the official EPFO channel. Where the employer must act, we coordinate with them.

5. Follow-up

We track the status and respond to any query or return from EPFO until the matter is settled, and we explain any deduction such as TDS.

6. Closure

Once settled, we confirm the credit and advise on anything left to do, such as consolidating remaining accounts.

To discuss your matter, book a consultation.
